This manual is published under section 51 of the Promotion of Access to Information Act 2 of 2000 (PAIA) for MYDIGITALCOMPANY, a business owned and operated by Theresa Grainger as an individual (sole proprietor).

Purpose of this manual
PAIA gives people a right to request access to records held by a private body when the record is required to exercise or protect a right. This manual explains what records may be held, how to request access, and how requests are handled. Access is subject to PAIA's procedures, grounds for refusal and any prescribed fees.
Guide from the Information Regulator
The Information Regulator publishes a PAIA guide explaining how to exercise rights under PAIA. The guide and the current prescribed forms are available from the Information Regulator's official website at inforegulator.org.za.
Records that may be held
Depending on business needs and applicable retention requirements, records may include:
- business administration, tax, accounting and financial records;
- client enquiries, quotations, agreements, invoices and correspondence;
- supplier and service-provider records;
- website project files, content, technical records and support correspondence;
- intellectual property and marketing records; and
- personal-information and security records maintained under POPIA.
Personal information records
Personal information held may include names, business names, email addresses, phone numbers and the project details supplied through the contact form, WhatsApp or email. Categories of data subjects include prospective clients, clients, suppliers and service providers. Further detail appears in the Privacy Policy.
Records available without a formal request
Public website content, service descriptions, portfolio information, this manual, the Privacy Policy, the Terms & Conditions and the Website Disclaimer are available without a formal PAIA request.
How to request access
- Use the current prescribed PAIA request form published by the Information Regulator.
- Send the completed form to the Information Officer at graingertheresa87@gmail.com.
- Identify the requested record and the right you want to exercise or protect.
- Provide enough contact and identity information to process the request.
- Specify your preferred form of access and any relevant accessibility needs.
Requests are ordinarily answered within the periods set out in PAIA. You will be notified in writing of the decision and of any prescribed fee that is payable before access is given.
Fees
Where PAIA prescribes a request fee or an access fee (for example for reproduction, search and preparation time), that fee applies as published in the applicable regulations. You will be informed of the amount before the work is done, and access may be withheld until the fee is paid.
Grounds for refusal
A request may be refused on the grounds set out in Chapter 4 of Part 3 of PAIA, which include protecting another person's privacy, commercially sensitive or confidential information of third parties, information held in confidence, legally privileged records, and records whose disclosure could harm a person's safety or property. Written reasons are given where required, together with information about available remedies.
POPIA requests
Requests to access, correct or delete personal information, or to object to processing, may be sent directly to the Information Officer. These are handled under POPIA and the Privacy Policy. Reasonable measures are in place to safeguard the personal information held.
Complaints and escalation
Please contact the Information Officer first so a concern can be resolved directly. If a request or complaint is not resolved, you may use the remedies available under PAIA or lodge a complaint with the Information Regulator of South Africa through its official website at inforegulator.org.za.
