Privacy Policy
This policy explains how MYDIGITALCOMPANY handles personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA). MYDIGITALCOMPANY is owned and operated by Theresa Grainger as an individual (sole proprietor) based in Paarl, Western Cape, South Africa.

What information is collected
- Information you submit through the quote or contact form: your name, business name, email address, phone number, the service or package you are interested in, and the project details you choose to share.
- Messages and contact details you send by WhatsApp, email or phone, including anything needed to prepare quotes, invoices and project work.
- Business information you supply for a project, such as trading details, content, product information and pricing.
- Standard website and technical information created when any website is visited, such as the request, security and delivery records generated by hosting and email services.
Please do not send sensitive personal information through the enquiry form.
Why it is collected and how it is used
- To reply to your enquiry and discuss your project.
- To prepare quotes, deliver agreed work and provide optional website care.
- To invoice you and keep business, accounting and tax records required by law.
- To keep the website and email secure and working correctly.
Your information is never sold. You are not added to any marketing or newsletter list by submitting the contact form. If marketing is introduced in future, it will use separate, clear opt-in consent that you can withdraw at any time.
Lawful basis for processing
Processing is based on your consent when you submit the form or contact us, on the steps needed to conclude or perform an agreement with you, on legal obligations such as record keeping, and on legitimate business interests such as replying to enquiries and keeping systems secure. Where consent is the basis, you may withdraw it at any time by emailing the Information Officer; this does not affect processing already carried out.
How information is stored and secured
Enquiries and project information are stored in access-controlled email and business accounts. Reasonable technical and organisational measures are used to protect personal information, including encrypted connections (HTTPS), password-protected accounts, limited access and limited retention. No online service can be guaranteed completely secure; any compromise of personal information will be handled in accordance with POPIA, including notifying you and the Information Regulator where required.
Service providers
Personal information may be processed on our behalf by service providers who are required to keep it confidential and use it only on instruction. These currently include:
- the website hosting and application platform that serves this website;
- the email delivery service used to send enquiry notifications and confirmations;
- Google Fonts, which serves the website typeface and may receive standard request data such as your IP address; and
- WhatsApp and standard email providers, when you choose to contact us that way.
No advertising or third-party analytics trackers are currently used on this website. If that changes, this policy will be updated.
Cookies and tracking technologies
This website does not use advertising or tracking cookies. Only technical storage strictly necessary for the website to function may be used. You can block or delete cookies in your browser settings; essential functions may be affected.
Cross-border processing
Some hosting, email and font providers operate servers outside South Africa, so your information may be processed in other countries. Where this happens, providers are selected on the basis that they offer protection comparable to POPIA through their terms and recognised data-protection safeguards.
How long information is kept
Enquiries that do not lead to work are kept only as long as reasonably needed to follow up. Client, project and financial records are kept for the periods required by South African tax and business law, and are then deleted or anonymised.
Your rights
- Ask what personal information is held about you and request access to it.
- Ask for information to be corrected or updated if it is inaccurate.
- Ask for information to be deleted where there is no legal reason to keep it.
- Object to processing, or withdraw consent, where applicable.
- Lodge a complaint with the Information Regulator.

Complaints
Please raise any privacy concern with the Information Officer first so it can be resolved directly. If it is not resolved, you may complain to the Information Regulator of South Africa through its official website at inforegulator.org.za.
